Performance Management
Performance management is an ongoing process that encourages meaningful conversations between supervisors and employees throughout the year.
The performance management process is designed to provide timely feedback, recognize accomplishments, support employee development, and align individual contributions with unit and University goals. This process is designed for classified and non-classified staff and certain FE/AP employees. Faculty members follow their own review process.
The University will conduct performance reviews in line with the fiscal year cycle (July 1 to June 30). The performance management process includes two key components:
- Mid-year performance check-in – A documented conversation to discuss progress, strengths, challenges, opportunities, and areas for growth.
- Annual performance review – A comprehensive annual evaluation from supervisors and leaders that summarizes performance over the full review period.
Together, the check-in and annual review provide employees with continuous feedback to strengthen our teams.
Mid-Year Performance Check-In
The performance check-in occurs halfway through the performance management cycle and is an opportunity for supervisors and employees to have an open discussion about performance, accomplishments, challenges, and goals.
The check-in is intended to be a meaningful conversation that updates an employee on their progress. It provides employees with more timely feedback throughout the year while allowing supervisors and employees to discuss priorities and identify areas for continued improvement.
During the check-in, supervisors and employees should discuss:
- Key accomplishments and contributions (especially those supporting the University’s mission)
- Areas of strength and demonstrated values
- Challenges or areas for growth
- Any updates to goals or priorities
- Support, development opportunities, or resources identified
- Alignment with WVU values
Following the conversation, supervisors will submit a summary of the discussion in the Blue system.
Annual Performance Review
The annual performance review is completed once each performance cycle and provides a comprehensive evaluation of an employee's performance. The review serves as the official record of performance for that time period, while the check-in serves as a supporting element.
The process includes:
- Employee pre-review
- Formal supervisor evaluation
- Performance review meeting
- Employee acknowledgment
Comparing the Pieces:
| PERFORMANCE CHECK-IN | ANNUAL PERFORMANCE REVIEW |
|---|---|
| Meaningful conversation | Formal evaluation |
| Midpoint of cycle | End of cycle |
| No employee pre-review | Employee pre-review encouraged |
| Documentation after meeting | Documentation before meeting |
| Focus on coaching and discussion | Comprehensive review |
