WVU Hire Quick Guide
At WVU, we use the WVU Hire system to post job openings, receive applications, track our hiring process, and onboard new employees. This quick guide is intended to help you, the Hiring Manager, successfully navigate filling your open position using WVU Hire. Still have questions? Request a Requisition
To open a new requisition, submit the Faculty, Staff and Research Corporation Employee Requisition Form. Your request will be routed to your Strategic Business Advisor (SBA) for approval. Once your SBA has approved, Shared Services will create your new requisition and route it to you for approval.
Approve a Requisition
If a requisition or offer letter requires your approval in WVU Hire, you'll receive an email to your WVU email address from "WVUHire@mail.wvu.edu." This email will include a link to approve or deny the requisition or letter. When you select the emailed link, you will also have the option to review the requisition or letter prior to approval and may be prompted to log in to WVU Hire.
Navigate to WVU Hire
You can access WVU Hire from the WVU Portal under the "Administrative" tab. Use your WVU credentials to log in to WVU Hire.
Access and Review the Candidate List
To view the requisitions, you own or collaborate on, select Requisitions from the task bar across the top of the screen.
Locate the requisition for which you'd like to review the candidate list and select the number in the candidate column. This number indicates the number of candidates who have applied to the requisition.
When the candidate list appears, select the candidate’s name you would like to review and scroll through their job submission to review their application. Select the Attachments tab on the job submission to view any documents such as a resume, CV, or cover letter the candidate has attached to their submission.
Disposition Candidates
Reflecting where a candidate is in the search process in WVU Hire and appropriately rejecting candidates throughout the search are important parts of a compliant and defensible search. Contact your Talent Acquisition Recruiter for assistance with updating candidates' step/status and rejecting candidates.
Print Candidate Files
When viewing the candidate list, select the box to the left of the candidate whose submission you'd like to print. You may select multiple candidates by selecting multiple boxes. Select the Print icon above the candidate list to print the selected submissions.
Once you've selected the Print icon, you'll receive a pop-up window listing the elements of the candidate submission. Select the elements you'd like to print, and select Print PDF at the bottom right of the screen.
Share Candidate Files
On the candidate list, locate the candidate you'd like to share. Select the box to the left of the candidate’s name. Select More Actions above the candidate list. From the More Actions drop-down menu, select Share Candidate.
You'll receive a pop-up screen with a list of WVU Hire users. Search the name of the recipient you'd like to share the candidate with in the Filters pane on the left of the screen. Select the name of the individual you'd like to share with and click Next.
After clicking Next, select the Job Submission sections you would like to share, and click Share Candidate. An email will be sent to the recipient's WVU email address notifying them that the candidate has been shared.
Add a Collaborator
You may wish to add other WVU employees, such as those serving on the search committee, as Collaborators to your requisition. Contact your Talent Acquisition Recruiter who can add the Collaborators into the system for you.
Tips and Reminders
- For questions about your requisition, always contact your Talent Acquisition Recruiter.
- If you cannot see all the information for your candidate, check the scroll bar at the bottom of the screen. You may need to scroll to the right to view additional information.
